Terms for using DispatchAi.
DispatchAi is trucking operations software for dispatch, documents, driver workflows, messages, payroll review, billing review, reports, safety/device review, and company team access. Each customer company is responsible for its users, drivers, customers, loads, equipment, business rules, and records inside its tenant.
Authorized accounts and tenant isolation
- Only invited, authorized users may access a DispatchAi tenant.
- Company owners manage team access, driver access, integrations, and account settings.
- Drivers must remain separated from office workflows unless a company grants a specific allowed driver surface.
- Customers are responsible for keeping roles, permissions, driver assignments, and offboarding current.
- Admin sandbox data must not be copied into customer tenants or used as customer production records.
Operational use and driver safety
- Users must use DispatchAi only for lawful company operations and authorized freight work.
- Drivers must not use DispatchAi while driving in a way that distracts from safe operation or violates law or company policy.
- Users must upload only accurate CDL, medical card, profile photo, receipt, BOL, POD, and load paperwork that belongs to the correct driver, company, or assigned load.
- Companies remain responsible for DOT, FMCSA, ELD, driver qualification file, payroll, tax, insurance, customer, and employment compliance decisions.
Communications and notifications
DispatchAi supports operational messages, assignment notices, document requests, Gmail replies, transactional email, push notifications, and SMS channels when a customer enables them. Customers are responsible for having authority to contact their users and drivers, keeping phone numbers and email addresses current, honoring opt-out requests where required, and not using operational channels for unrelated marketing.
Preview-first financial and report outputs
Financial documents, invoice packets, settlement outputs, payroll review material, and reports must be previewed in-app before export, print, send, or downstream use. Users may not bypass preview gates, role gates, document review requirements, or tenant boundaries.
AI, OCR, safety, and hardware limitations
DispatchAi may provide AI, OCR, AWS Textract, dashcam/device safety, and automation outputs to help classify paperwork, surface exceptions, detect camera obstruction events, or draft operational suggestions. These outputs are decision-support tools and require company review where the workflow affects dispatch, qualification, safety coaching, payroll, billing, customer send, tax, or compliance. Web HOS/logbook readiness is not a certified ELD claim unless a certified provider or hardware source is separately enabled and governed.
Acceptable use
Users may not upload unlawful files, impersonate another person, attempt to access another company tenant, interfere with security controls, scrape the service, reverse engineer protected workflows, misuse Email Intake, bypass preview gates, or use DispatchAi to make unsafe driving demands. Subscriptions, pilots, and service changes
Pricing, pilot terms, usage limits, support commitments, and paid hardware or integration terms are handled through the applicable order form, pilot agreement, or written customer agreement. DispatchAi may update features, integrations, and policies as the platform evolves.
Disclaimers and liability
DispatchAi is provided for business operations support. Customers remain responsible for verifying data, documents, payments, compliance decisions, customer communications, and employment tax records. DispatchAi does not provide legal, tax, safety, payroll, or compliance advice. To the maximum extent allowed by law, DispatchAi disclaims implied warranties and limits liability according to the applicable written customer agreement.

Use of DispatchAi is also governed by the Privacy Policy, Cookie Notice, and Privacy Choices.
