Privacy policy for DispatchAi trucking operations.
DispatchAi provides review-first operations software for trucking companies. The company that invites a user controls its tenant, team access, drivers, loads, documents, messages, payroll review records, and operating rules. DispatchAi processes that information to run the service, protect accounts, route work, and support customer-requested integrations. For customer-controlled records, DispatchAi generally acts as a service provider or processor under the customer company's instructions.

AI, OCR, and automation
DispatchAi may use OCR and automation, including AWS Textract or local mock parsing, to read fuel receipts, CDL files, medical card files, POD/BOL paperwork, and other uploaded documents. These outputs are suggestions for filing, review, and readiness. They do not replace company approval for driver qualification, payroll, billing, taxes, safety action, or customer-facing documents.
How we share information
DispatchAi shares information only as needed to provide the service, support customer instructions, protect the platform, or comply with law. Typical recipients include hosting and storage providers, security providers, OCR/document processors, map and location services, email or integration providers chosen by the company, communications providers used for operational messages, and professional advisors. Retention
Customer tenants control operational recordkeeping needs. DispatchAi keeps account, driver, load, document, payroll review, audit, and integration records while the customer account is active or as needed for service, security, dispute, legal, tax, or compliance purposes. Driver CDL and medical card records may be part of a motor carrier's driver qualification file, and payroll records may support wage, deduction, settlement, and employment tax records. Customers can request export, correction, deletion, or return support through the contact channel below, subject to legal, contractual, safety, tax, and trucking recordkeeping obligations.
Security and tenant boundaries
DispatchAi uses tenant-scoped authorization, role-based access, driver-office separation, preview gates for sensitive financial/report outputs, and audit records for important actions. Admin sandbox data must remain separated from customer tenant data. See Security for more detail.
